The Embassy of the United Republic of Tanzania in Brussels invites qualified and suitably experienced individuals to apply for the position of Head of Mission’s Office Assistant (One (1) Position).

1. Key Responsibilities

The Head of Mission’s Office Assistant shall perform, but not be limited to, the following duties and responsibilities:

 

A. Executive and Administrative Support

i. Manage the Head of Mission’s daily schedule, appointments, and official engagements to ensure effective time management.

ii. Draft, type, and proofread official correspondence, memos, speeches, letters and reports in accordance with diplomatic protocol.

iii. Handle incoming and outgoing correspondence and communication.

iv. Organise travel arrangements, including flights, accommodation, visas, and logistical support for official missions.

V. Prepare briefing materials and background information for the Head of Mission’s meetings, conferences, and official visits.

 

B. Liaison and Protocol Duties

i. Serve as the point of contact between the Head of Mission and external stakeholders and institutions, including the Belgian Government, European Union, OACPS, Other Embassies and international organisations,

ii. Assist in organising official meetings, courtesy calls, diplomatic receptions, and events hosted by the Embassy.

iii. Liaise with Embassy service providers such as landlords, maintenance companies, telecommunications, insurance, utilities, and other contractors to ensure smooth day-to-day operations of the Embassy.

 

C. General Office and Logistical Support

 Manage supplies and logistics for meetings and official functions in the Head of Mission’s office.

i. Maintain updated contact lists of relevant Embassy stakeholders,

ii. Perform any other duties as may be assigned.

 

2. Minimum Qualifications and Experience

i. Bachelor’s Degree in Secretarial Studies, Office Management, Public Administration, International Relations, or other related discipline.

ii. At least three (3) years of relevant professional experience in the public and private sectors. Candidates with prior experience working in a diplomatic mission or, international organisation are strongly encouraged to apply.

iii. Excellent command of English and French. A working knowledge of Dutch will be an added advantage.

iv. Strong computer skills with proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).

vii. Flexibility to work outside normal hours when required.

 

4. Terms and Conditions

i. This is a full-time position based at the Embassy of the United Republic of Tanzania in Brussels.

ii. The appointment will be on a two-year contract with the possibility of renewal to long-term employment based on satisfactory performance.

iii. Remuneration will be commensurate with qualifications and experience, in accordance with the Embassy’s internal regulations.
